Quebecor’s legal department, a small yet highly efficient team, navigates the complex legal landscape of a company with over 10,000 employees. To enhance their operations, they turned to GaLexy by Septeo Legal Suite, seeking a comprehensive and reliable legal management solution. In this case study, we explore how Quebecor's legal team leverages GaLexy to streamline processes and ensure compliance across their diverse business sectors.

Introduction to Quebecor

Quebecor is a leading Canadian telecommunications and media company based in Montreal, Quebec, and one of our North American clients at Septeo Legal Suite. Founded in 1965 by Pierre Péladeau, Quebecor has grown into a major integrated communications company, operating in various sectors such as broadcasting, publishing, internet services, and cable television.

Quebecor publishes a wide range of books, magazines, and print media, including popular titles and renowned authors. The company is also active in entertainment, producing and distributing music, films, and events for diverse audiences. Quebecor owns Videotron, one of the largest providers of cable television, internet, and mobile phone services in Quebec.

Quebecor’s Legal Department

Quebecor is a large organization employing over 10,000 people across its various divisions and subsidiaries.

However, its legal department comprises about 20 in-house lawyers in addition to a few paralegals and assistants. We had the opportunity to speak with Jonathan Lee Hickey, Vice President of Legal Affairs and Corporate Secretary at Quebecor.

Why GaLexy by Septeo Legal Suite?

“The main reason is that the software met our needs.”

— Jonathan Lee Hickey, Vice President of Legal Affairs and Corporate Secretary, Quebecor.

Since 2021, Quebecor has been a client of Septeo Legal Suite, utilizing the Matter Management module and the Contract Management module.
  • Matter Management Module: This module assists Quebecor’s legal department in efficiently managing all internal cases, processes as well as our litigation files.

  • Contract Management Module: This module allows Quebecor to automate and secure contract activities at every stage of the contract lifecycle. It tracks negotiations, manages the validation of final agreements, and ensures effective contract performance control.
Additionally, Quebecor uses our Microsoft Word and Outlook Plug-ins and Advanced Configurator, which allow them to:
  • Manage documents saved in the GaLexy® application directly from MS Word®.
  • Attach documents from the application to an email and save attachments within the application.
  • Modify the folder structure by adding fields or tab pages.

How has our GaLexy solution improved the efficiency and productivity of your department in managing legal tasks?

“GaLexy has primarily enabled us to implement a digitized document management system, which is essential in a remote work environment where colleagues work from different locations.

Secondly, it has allowed us to fully transition to digital, eliminating the need for printing and paper copies, which saves physical space.

Thirdly, it has enhanced our efficiency by providing instant access to all files with just a click or two, improving productivity by allowing us to identify who is generating the most volume from a contractual perspective. GaLexy has introduced features that didn’t exist in a paper-based environment, such as automatic reminders, tags, more detailed descriptions, and better access to files, available 24/7 to all team members.”

What has automation allowed you to achieve?

“We save time because we need fewer resources to manage physical files. Digital file management requires fewer resources than paper file management did in the past.”

How long did your implementation project take before you could use the product?

“About three months. The software implementation itself wasn’t the longest part. The longest part was determining what we wanted to do—the configuration.”

What specific value has our software brought that you didn’t anticipate during its initial implementation?

“I think we already knew what we were getting into and what we were purchasing, so there were no surprises. The power of the solution becomes evident when you use it in a real-world context.”
